To assist with your preparation to attend the 2021 PCPA Advanced Trainee Program or the PCPA Scientific Meeting we have prepared some general information for your review.

Please feel free to contact the event team should you have any additional questions regarding the program or your registration.


Accommodation

The official hotel for 2021 is The Langham, Southbank, Melbourne.

Please note PCPA will only cover accommodation for interstate and regional Advanced Trainees at this hotel during the program. Accommodation for local residents can be arrange at their own expense.

Additional nights or rooms for other attendees are available, subject to availability at the rate of A$310.00pr/pn. Payment of additional room requests are the responsibility of the attendee. A secure credit card link will be provided by the hotel to guarantee and confirm the reservation.

Please note that the hotel check-in time is 3:00pm.

On Sunday 12 September 2021, please ensure you have checked out of your room prior to the commencement of meeting sessions. The official hotel check-out time is 11:00, and additional fees will apply after this time, which will remain the responsibility of the attendee to settle.

Luggage can be stored with the hotel concierge on arrival and until departure.

Acknowledgements

On submission of the online registration forms, your registration will be acknowledged via email, and your requirements confirmed. Attendance is by invitation only, and PCPA reserves the right to decline registration applications. At the meeting you will receive the program, a list of delegates and any other hand-out materials.

Cancellations

Cancellations must be notified in writing to the event organisers. For any cancellations and changes to your requests after registration closes on Friday 13 August 2021, please contact Libbi Langford at the PCPA Event Management Team.

These programs are in high demand with a set capacity. Once full, a wait list will be established. Please be considerate to fellow Advanced Trainees and PCPA Members and advise as soon as possible if you are no longer able to attend.

COVID-19

Attendance at the PCPA Advanced Trainee Program and Scientific Meeting is voluntary. The Government response and action to COVID-19 continues to evolve on a day-by-day basis, with further restrictions being imposed in attempt to control the spread of the virus. While PCPA and the venue will adhere to all health regulations in place, impacts of COVID-19, such as quarantining, remain the responsibility of the individual.

Dress Code

For the Meeting Program neat casual wear is acceptable, although it is recommended to bring a jacket for warmth as the conference rooms can be quite cool.

For the PCPA Networking Reception after the meeting on Saturday, smart clothing is required. Neat casual wear is suitable for both men and women.  This social event will be held in the Clarendon Ballroom Foyer, The Langham from 5:00pm – 7:00pm.

Flight Assistance for ATP Only

For interstate and remote regional Advanced Trainees, the costs of flights to and from your city of origin, will be covered by PCPA when booked via this registration site. A limited number of flights and carriers are available to meet with the program timings. Please select your flight option when completing your registration.

Please check that you have used your full name in your registration details – it must match your photo ID (passport or drivers licence)

Please note that flights will be booked based on your registration selection. Once ticketed, changes to flights will be at the expense of the attendee, with a fee of $125 per change, plus any fare or tax difference.

Parking

PCPA will cover Advanced Trainee self-parking at the Wilson Parking Southgate Car Park Southgate Ave. during program sessions.

Please note not all city car parks are open on the week-end. This carpark is open 24hrs on Fridays and Saturdays. Reimbursement will be available from the PCPA Event Team onsite during the Trainee Program.

Valet parking at The Langham is available for invited speakers only. 

Travel and/or parking for sponsors and attendees of the Scientific Meeting is at own arrangement and cost.

PCPA Advanced Trainee Program Access:

Each delegate at the meeting will receive a name badge upon registration. The badge will be your official pass and must be clearly visible at all times to obtain entry to all sessions and for conference catering.

Registration Entitlements

Advanced Trainee Program:

PCPA will cover participation costs for all invited Advanced Trainees. Registration entitles each trainee to:

  • Admission to all sessions
  • Training program, list of delegates and any hand-out materials
  • Conference catering including lunches, morning and afternoon teas
  • Social networking event after meeting on Saturday
  • Access to speakers presentations post event
  • One night accommodation inclusive of one breakfast (regional and interstate attendees)
  • Flights to and from Melbourne (interstate attendees)
  • Ground transportation to/from the airport at your home port and to hotel (regional and interstate attendees)
  • Self parking (local attendees)

Scientific Meeting

For PCPA Members, speakers and sponsors registration entitles each attendee to:

  • Admission to all sessions
  • Meeting program, list of delegates and any hand-out materials
  • Conference catering including lunch, morning and afternoon teas
  • Social networking event after meeting on Saturday
  • Access to speakers presentations post event

Attendees Responsibility:

Attendees will be responsible for the payment of any items not listed above, including room incidentals and additional charges for guests.

Attendees will be responsible for adhering to Covid Safe government policies and any requirements advised onsite by the venue.

Advanced Trainees – Please note that flights will be booked based on your registration selection. Once ticketed, changes to flights will be at the expense of the attendee, with a fee of $125 per change, plus any fare or tax differencePlease check that you have used your full name in your registration details before submission – it must match your photo ID.

Registration Additional Costs

As an Advanced Trainee, immediate costs associated with registrations are covered by PCPA.

Should additional room nights be requested, or accommodation for local attendees, these costs remain the responsibility of the attendee, and are to be paid directly to the hotel.

You can continue to make updates to your registration until closing. All registrations must be completed online no later than Friday 13 August 2021. Changes made to flights, once ticketed, will incur a $125 change fee, to be paid by the attendee.

Incidental and personal expenses made outside the scope of entitlements remain the responsibility of the attendee.

For Sponsors and Invited Speakers (external to PCPA), please complete only personal and registration details. As a complimentary guest no registration payment is required.

Registration Closing Date

Registration will close on Friday 13 August 2021. Please register early to avoid missing out. Waitlist requests will be assessed after the closing date.

Travel Insurance

Registration fees do not include insurance of any kind. It is strongly recommended that at the same time you register for the meeting and book your travel that you take out an insurance policy of your choice. The event organisers cannot take any responsibility for any participant failing to arrange their own insurance.

Waitlist

Attendee numbers are limited for the Advanced Trainee Program. Registrations will be assessed and accepted on a first come basis. Once capacities are reached additional attendees may request to be placed on a waitlist.
